How I Built My AI Brain in an Afternoon 🧠

Most people use AI like a vending machine. Put in a question, get an answer, move on. 🎰

I used to do the same thing. Then I built a system that makes Claude work like a second brain that actually knows me, my work, and how I operate.

The problem 😤

Every time you open a new AI chat, it knows nothing about you. You re-explain context, re-establish tone, re-describe your workflow every single time. It feels more like a toy than a tool.

The fix

A personal workspace with standing rules, a personal OS file, and a file flow protocol. All loaded automatically every session. Claude reads it before touching anything.

What you will build 🛠️

Step 1 — Build your folder structure 📁

Create a folder on your computer called Claude-Work. Inside it, create these folders:

  • 📂 Claude Brain

  • 📂 Projects

  • 📂 Personal

  • 📂 One folder for your company or main work

This is your workspace. Everything Claude touches lives here.

Step 2 — Create your standing rules 🚦

Inside Claude Brain, create a file called Standing Rules.md. This is a list of things Claude can never do without your explicit approval. Mine include:

🚫 Never delete any file. 🚫 Never visit a URL without showing it to me first. 🚫 Never send an email without showing me the full draft. 🚫 Never update my CRM without confirming what will change.

These rules load every session. They are non-negotiable.

Step 3 — Build your personal OS file 🧬

This is the most important file. It tells Claude who you are, how you work, what you care about, and how you want outputs formatted. Think of it as your personal readme.

Include your name, role, top priorities, tools you use daily, communication style, and your hard limits.

Step 4 — Create your file flow protocol 🔄

Every file moves through three stages.

📥 Inbox is where you drop raw files. ⚙️ In Progress is where Claude moves them once work begins. 📤 Output is where everything Claude creates lands.

Simple, clean, nothing gets lost.

Step 5 — Set up global instructions ⚡

In your AI tool settings, add a global instruction that tells Claude to read your Standing Rules and OS file before doing anything else. Every session starts loaded with your full context automatically.

Step 6 — Build your prompt library 📚

Create four reusable workflow templates.

📌 One for organizing files. 📌 One for research and analysis. 📌 One for creating documents from raw data. 📌 One for browser-based tasks.

Call them by name. Claude knows exactly what to do.

The result 🎯

I went from restarting every session from zero to having a fully loaded assistant that knows my work, follows my rules, and outputs files I can actually use.
